The Challenge
Running a fight card means chasing paperwork from dozens of athletes at once. Signed contracts, medical clearances, bloodwork, ID documents, weigh in details, media photos and fight week schedules all arrive through text messages, email attachments and social media direct messages, usually in the final seventy two hours. Something always goes missing, and in combat sports a missing medical is not a filing problem, it is a fighter pulled from the card. RUF Nation needed the operational side of the promotion separated from the public facing event site, with fighters and staff working from the same record instead of separate inboxes.

What We Built
We built a dedicated portal on its own subdomain, entirely separate from the public event site, so promotion operations never sit behind the same navigation as ticket sales. The fighter journey is defined as four stages, intake, contracts, medicals and fight week, which sets expectations before login and gives staff a shared vocabulary for where any athlete stands. Fighters and administrators have separate sign in paths, so staff tooling is never exposed in the athlete experience. Authentication is passwordless by phone or email, which is the right call for users who sign in a handful of times a year and will not remember a password. The landing page is deliberately minimal, an explanation of what the portal is for and two ways in, because everything of value lives behind the login.
